Remote Employee Equipment Return Services
ecoTech’s Remote Return service helps IT and HR teams recover company laptops and other equipment from remote and hybrid employees during offboarding, hardware refreshes, and lease expirations. Once equipment is received, we can prepare it for reuse, hold it in inventory, return it to the lessor, or route it for approved disposition.
Plan Your Remote Return Program
How remote employee equipment returns work
Identify what needs to come back. Share the device types, asset tags or serial numbers if available, required accessories, employee locations, and return deadlines. Let us know whether the equipment is company-owned or leased.
Give employees a clear way to return it. The return plan can include a kit with protective packaging, a prepaid shipping label, and instructions that tell the employee what to send. We agree up front on who communicates with employees, how shipments are tracked, and when to escalate an overdue return.
Confirm what actually arrived. A delivery scan shows that a package arrived. Receiving records can confirm which laptop and accessories were inside. We agree on how to match equipment to your inventory and flag missing items, damage, or serial number discrepancies.
Send each asset to its approved next step. Use condition, ownership, and your data handling requirements to decide what to store, redeploy, return to a lessor, or retire.
Equipment retrieval for offboarding and refreshes
When an employee leaves, IT and HR can use one return plan to specify what is due, when it is expected, and who follows up. For a distributed refresh, you can use the same process to collect older devices in waves as replacements go out. Tell us if the return includes monitors, docks, power adapters, or other items that may require different packaging.
Device retrieval is one part of secure offboarding. Your internal team should coordinate account and credential removal according to its own policy. NIST’s personnel termination guidance (SP 800-53, control PS-4) treats access removal and property retrieval as separate steps.
Put returned devices back to work
Storage and inventory for future deployments
Hold eligible equipment for new hires, replacements, or the next rollout. Agree on which inventory fields your team needs, how it will identify devices ready to deploy, and who can authorize release. A useful inventory distinguishes equipment ready to ship from devices still awaiting testing, repair, or a decision.
Testing, repair, and configuration
We can inspect and test returned hardware, perform agreed repairs, and prepare eligible devices for your next user. Share your readiness checklist, configuration or imaging requirements, and repair approval thresholds so we can define what qualifies for redeployment and what should be held for review.
Custom redeployment kits
Build a kit around what the next employee actually needs. A laptop kit might include the configured device, a compatible charger, a dock, and the right cables. We can agree on kit contents by role or equipment type and coordinate shipment to the new user or a company location.
IT lease return management
Share the lease schedule and the lessor’s return instructions before equipment starts coming back. ecoTech can help match retrieved devices to the lease inventory, check condition and required accessories, prepare equipment to the agreed specifications, and coordinate shipment to the designated return location. We can also plan which receipt and shipment records your team needs for reconciliation.
Lease terms determine deadlines, condition requirements, and what to do when assets are missing. Flag any exception or media handling restriction early so your team has time to resolve it with the lessor.
Decide how data and retired equipment will be handled
Can ecoTech retrieve monitors and accessories as well as laptops?
Yes. Tell us which monitors, docks, chargers, and other items you want back. The size and condition of the equipment help determine which items can go in the same kit and which need separate arrangements.
What happens if an employee doesn’t send the laptop back?
We agree on follow-up and escalation before the first return. For example, your plan can specify who checks for a carrier scan, who contacts the employee, and when the case goes back to your HR or IT team for resolution.
Can we retrieve devices during a refresh without retiring them?
Yes. Serviceable devices can be tested, prepared for reassignment, and sent to another employee or stored until needed. Set your reuse criteria before the project begins so returned equipment can be routed accordingly.
Can we track returns by serial number or asset tag?
Yes, when that level of reconciliation is included in your program. Share your existing asset list and the reporting fields you need so receiving records can be matched to the right device.
Can you help if our lease return deadline is approaching?
Share the lessor’s deadline, the device list, and any missing equipment or accessories as soon as possible. We’ll review what still needs to be retrieved, inspected, or prepared and confirm the available options based on the time remaining.
Can you coordinate returns from employees in multiple states?
We can plan returns for distributed teams. Provide the states or ZIP codes involved so we can confirm coverage, packaging requirements, and return options for your equipment.
What affects the cost of a remote equipment return program?
Pricing depends on the number and type of devices, employee locations, packaging and shipping needs, and what you want done after receipt. An estimated device count and your preferred next step for each equipment type are enough to start the conversation.
Plan your next equipment return
Tell us how many devices you need back, where employees are located, and when the equipment is due. Let us know what you want to keep in circulation and whether any devices are leased. We’ll help define the return, receiving, and next steps for your program.
