Certificate of Destruction

Documentation

Also known as: CoD · destruction certificate

A record stating that specified assets or media underwent destruction. Its usefulness depends on supporting details and records.

What to reconcile before you close the project

Start with the agreed inventory and match the certificate to the covered assets or media. Check the date, method, location, responsible provider and how any missing or unreadable identifiers were handled. Ask whether identifiers are on the certificate or in a separate report that ties back to it.

A certificate records a destruction outcome. It works alongside the chain of custody record and asset-level reporting, which show what was received and where any exceptions were resolved.

How ecoTech handles it

ecoTech issues Certificates of Destruction for completed destruction services. Before work begins, we agree with you on what supports each certificate:

  • The identifiers used to match certificates to your assets
  • Custody and handoff records
  • The processing method and completion records
  • How missing identifiers or discrepancies are handled
  • Who receives the certificates, and in what format

Serial numbers are tracked for software-sanitized devices; serial tracking for physically destroyed media is available on request.

Question to ask your ITAD provider

Does it identify assets, date, method, and responsible parties?
